| Will Webservio's employees have access to my emails? | |
| No. All of your emails are stored in a format that is not readable. We allow very limited access to the servers and therefore your emails are safe. |
|
|
| Does your email hosting come with anti-spam protection? | |
| Yes, Webservio's email hosting comes with anti-spam protection. |

|
| Does your e-mail hosting come with anti-virus protection? | |

|
|
| Our organization has many departments. However, each department may have common users. I want the ability for certain users to receive emails for other departments too. Can Webservio's email hosting handle this? | |
|
Yes. This can be done by the use of email aliases. Let's say you have many employees in your firm, and John needs to receive all emails sent to sales@yourfirm.com. John also needs to receive the emails going to hr@yourfirm.com. In this case, we would define both sales@yourfirm.com and hr@yourfirm.com and add John as a user to each of them. Similarly, we can apply this procedure to as many users as you want.

|
| My email is currently with another hosting provider. Can I use your email service without any interruption in my email service? Do I also have to transfer my domain to you? | |
| Yes, you can transfer your e-mail service to us from your existing provider with no interruption. It is as simple as changing the MX record to point to us. Although we recommend that you transfer your domain to us, it is not necessary. |
|
|
| What is an MX record and how does your solution work? | |
| An MX (email exchange) record is an instruction within a DNS (domain name system) that routes the e-mail for the domain to the correct mail server. Without a valid mail exchange record, one cannot send and receive emails. When a message is sent to an email address, that piece of mail is routed through to the mail server whose MX record is listed in the DNS. When you sign up for Webservio's SpamWeeder solution, your email will be routed to our anti-spam portal by using MX records we provide. Once the messages have been filtered through our portal, we will relay the mail to the correct mail server as specified with your email exchange record. |

If this is marked, copies of all email messages will be left on the server and require manual deletion. Otherwise, your email in box will reach its maximum size.If you require an increase in your mailbox size limitations, please submit a ticket to Webservio Support . |

| I keep receiving an error message 0x8004210A when trying to send emails via Outlook and Outlook express? | |
| This is a timeout error that is notoriously difficult to diagnose. I can be caused by high latency on your network or internet connection, large or corrupted attachments failing to download in a timely fashion, Anti-Virus software installed on your machine, or a problem with the email client software itself. For Outlook 2002, it may be possible to resolve the issue by installing the patch from Microsoft: Outlook 2002 Patch

| No. We do not backup emails that are sent to your domain if you are using our email hosting or shared web hosting services. Should your emails get deleted by a malicious person or by accident, we will not be able to restore your emails. We strongly recommend that our customers set up an email client in order to save their emails on their hard drive. If you have important emails, it is a good idea to back them up by downloading them into an email client, or by saving the email content on your computer. If you need a more reliable email backup solution, then please contact sales@webservio.net, and one of our representatives will be glad to help you. |

| Do your servers support different e-mail clients? | |

Some of the ones we have noticed are used most often include (in no particular order): Entourage (for Macs)Eudora Eudora LiteIncrediMail MacMail (for Macs)Mozilla Thunderbird Netscape 6.x or laterOpera Outlook Outlook Express |
|
|
| Why do I get a "550 Relaying Not Allowed" error message when sending email? | |
| Two main reasons why this error message occurs: 1. Your Internet Service provider (ISP) has blocked the SMTP server by blocking port 25. This means that you can no longer use the SMTP server as provided by us to you to send email out from your domain. Your ISP blocks this port to prevent fraud and spam, and hence they have you use their SMTP server to monitor the activity. Call your ISP and ask them to open port 25 (most of them may not do this, but you can give it a try). If they refuse to do this, then the other option is to use your ISP's SMTP server for sending out email and use your domain's POP3 server for receiving email.2. The other reason for this message is if the "My outgoing server (SMTP) requires authentication" option is not checked in your email client (such as Microsoft Outlook). Please make sure this option is checked. |

In order to stop receiving the message, please delete messages from the mail server to make the mailbox size smaller. |

| What is an email header? | |
|
The email header is the information that travels with every email, containing details about the sender, route and receiver. It is like a flight ticket: it can tell you who booked it (who sent the email), the departure information (when the email was sent), the route (from where it was sent and how did it arrive to you) and arrival details (who is the receiver and when it was received). As when you would book a flight ticket with a false identity, the same goes for emails: the sender can partially fake these details, pretending that the email was sent from a different account (common practice for spammers or viruses).

| Why do I receive messages on either my smartphone or my workstation Outlook account, but not to both? | |
| The
most common reason messages are delivered to one device (cellphone) but
not to your Outlook account is because the mail server believes the
message has been delivered once it hits either your cell phone or
BlackBerry. We
highly recommend creating an alias that points to 2 user accounts.
This way, all messages will be sent to both accounts. One can be used

| What is SPF | |
|
A SPF (Sender Policy Framework) is a way to allow you to restrict
which mail servers are allowed to send email for your domain name.
An example of an SPF would be : example.com. TXT "v=spf1 -all"
SPF records are TXT records placed into a domains DNS. To setup a SPF record we recommend using the following link:
http://www.openspf.net/dns.html
Please note, forwarding emails can sometimes break the SPF. If this
is the case we reccomend using SRS (Sender Rewriting Scheme). More
information about this can be found here:
http://www.openspf.net/SRSIf the above links do not work please see http://www.open-spf.org/Tools/***** Additional notes for Webservio customers:If you are using Webservio Strata Mail email systems the SPF should be : "v=spf1 a mx ip4:208.82.180.0/22 ip4:208.82.180 |

| If you have changed the IP address of your Mail Server | |
|
An IP address change does not affect your Mail Bagging or Spam Filtering Service since we normally set delivery routes using the mail server hostname for delivery. However it can take up to 72 hours for DNS changes to propagate. The time really depends on your DNS provider. Until the change has propagated, our systems would still try to deliver to the old IP address.

| When using Webservio services, will my outgoing emails be rejected by recipient mail servers due to failing a reverse DNS lookup? | |
|
Message bounces due to a reverse DNS lookup are caused by the intended recipient's mail server. Some mail servers may employ a reverse DNS lookup as a means to detect possible spam. This could pose a problem for anyone using hosted spam filtering or email routing services, since the public MX records will be pointing to that service rather than the mail server itself. Most reverse DNS lookups simply look to see if the IP of the sending server has a PTR record which assigns a name to the IP. All of Webservio's filtering, routing, mail bagging, and email continuity servers have PTR records, so reverse DNS lookups should not cause any delivery problems.
Occasionally, a receiving mail server is configured to compare part of an email to the MX records for the sending domain. However, this is not a recommended configuration because MX records are used to designate a location for inbound mail delivery and do not mandate that the server which receives inbound mail is the same s |

| What are MX (mail exchange) records? | |
| The purpose of this tutorial is to assist you in understanding what MX (mail exchange) records are, and the role they play in your life.An MX record tells senders how to send email for your domain. When your domin is registered, it is assigned several DNS records. This enables it to be located on the Internet in several different ways. Every MX record points to an email server that is configured to process mail for that domain. Typically, one record points to a primary server, and additional records point to one or more backup servers. For users to send and receive email, the MX record for their domain must point to a server that can process their mail. This allows your mail to travel freely back and forth, arriving at the correct inbox.Mx r |

| What are Resource Mailboxes in Hosted Exchange? | |
| Resource mailboxes are mailboxes that represent conference rooms or shared equipment. Resource mailboxes can be included as resources in meeting requests, providing a simple and efficient way to utilize resources for an organization.Note: Resource mailboxes cannot be accessed directly. The only way to open a resource mailbox is to open it from the delegate's mailbox. There are two types of resource mailboxes in Microsoft Exchange Server: room and equipment. Room mailboxes are assigned to a meeting location, such as a conference room, auditorium, or training room. Equipment mailboxes are assigned to a resource that is not location specific, such as a portable computer projector, microphone, or company car. In reference to resource mailboxes, a delegate is a user that has been delegated as the management of the resource mailbox. The delegate can approve or reject out-of-policy meeting requests for a resource. The delegate can |

| How to configure O365 with SpamWeeder Premium | |
|
Inbound filtering only:Using Office365 with SpamWeeder Premium for inbound filtering is simple. Once the domain is added to the SpamWeeder Premium portal, we recommend that you
then create a rule directly within Office365, to allow all traffic from
the filtering service IP's before changing MX record to avoid any
delivery issues. To set this, complete ONE of the following options: Set an IP Based Transport rule, OR an X Header based transport rule. IP based transport rule:In your Office 365 Environment, you can create a "Transport Rule"
for your filtering service delivery IPs. (**note** This is IP based and not
hostname based. Please use the IP ranges specified here: SpamWeeder Premium IP Ranges). |

| How do I make a backup of my contacts and calendars in Outlook? | |
| **For POP3 accounts**
If you keep all your contacts in the Contacts folder of Outlook, simply make a backup of your main pst-file. The pst-file is the database that Outlook uses to store your mail, contacts, calendar items, tasks, notes and journal items in.
**For IMAP accounts**
Outlook 2010 and previous
Just like a POP3 account, your contacts are stored in your main pst-file (so not the one of your IMAP account). Making a backup of that pst-file also includes your Contacts.
Outlook 2013 and Outlook 2016
When you only have an IMAP account configured in Outlook, then your Contacts are stored in a “This computer Only” folder. In that case you can export or copy the Contacts folder to a pst-file as described in the “Backup Contacts folder only” instructions listed below. You can also force Outlook to store your Contacts directly in a pst-file so you can backup this file.

| Backing up and restoring the AutoComplete cache of Outlook 2010, Outlook 2013 and Outlook 2016 | |
| Since Outlook 2010, the AutoComplete cache is being stored within your mailbox itself and is no longer a separate file.
This means that when you are using an Exchange account, you’ll have the same AutoComplete cache on each computer where you are using Outlook or Outlook Web App (OWA) to access your mailbox.
For POP3, IMAP, Exchange Active Sync (EAS) and Outlook Hotmail Connector accounts, this is not the case as this information isn’t synchronized with the mail server.
MFCMAPI
In order to backup and restore the AutoComplete cache in Outlook 2010, Outlook 2013 and Outlook 2016, you’ll need to make use of MFCMAPI. This is because the AutoComplete information is stored as a “hidden message” within your mailbox or pst-file.
MFCMAPI is a low-level editing tool to access your mailbox data. You can do some really great things with it, but you can also easily do large irreversible damage to your mailbox so it is important that you make a backup first and follow the below instr |
